This Privacy Notice applies to the iheed website and data gathered via the iheed Online Learning Environment (which is fundamentally Canvas by Instructure, as well as the supporting Canvas iOS and Android mobile apps). In this Privacy Notice, we have provided detailed information on when and why we collect your personal information, how we use it and how we keep it secure.

1 Important information and who we are
1.1 Purpose of this Privacy Notice
This Privacy Notice aims to give you information on how we collect and process your Personal Data through your use of this website and/or the iheed Online Learning environment, sign up to our newsletter, submit a query or use other online services.
We are committed to protecting the privacy of children. The iheed website and iheed Online Learning Environment are intended for use by adults, and are not intended for, nor designed to be used by children under the age of 18. We do not collect personally identifiable information from any person we know is under the age of 18.
It is important that you read this Privacy Notice together with any other Privacy Notice or fair processing notice we may provide on specific occasions when we are collecting or processing Personal Data about you so that you are fully aware of how and why we are using your data. This Privacy Notice supplements the other notices and is not intended to override them.

2 The data we collect about you
2.1 Types of Users
We collect information about and from unregistered users, registered users and students.
Unregistered Users: You must register to participate in any of our online training programmes. However, you may access certain areas of the iheed website and iheed Online Learning Environment without registering. In these circumstances, we passively collect information using cookies such as your IP address, referring website, the type of browser or operating system you have, the type of hardware you have, what pages on the site you have viewed, as well as access dates and times. When you first visit this website, you will see a message informing you about cookies and an option to accept or mange cookies. Registered Users: When you register to take part in an iheed online training programme you are asked to provide identifying information such as your name, nationality, username, password, e-mail address, mobile telephone number, demographic information and other professional information (e.g., speciality/practice area).
Students: If you participate in an iheed online training programme, some aggregated non-personally identifiable information about the activities you undertake is recorded (e.g., pages you visit), as well as information you provide voluntarily as a participant in the training programme, such as evidence of qualifications, assignments, quizzes, project work etc. Information that you provide in connection with your participation in training activities/assignments may be used in several ways:
iheed training programmes are accredited by our partner Medical Training Institutions/ Universities (e.g., the PGDip/MSc in Diabetes Care programme is accredited by the University of Warwick). As a result, iheed provides personally identifiable information to the accrediting bodies for the fulfilment of their reporting obligations. This information will include personally identifiable information about you and credits issued to you, for the purpose of maintaining records that you can request from the accredited provider for up to six (6) years.
iheed staff members have access to files containing personally identifiable information, including university qualifications, evaluation forms and aggregated participant information. These files can be accessed in order to respond to your questions or comments. iheed may also use personally identifiable information, including registration information and evaluation data, in assessing educational needs and evaluating their education activities.
iheed Tutors have access to all assignment and project work you submit during the course of a training programme.
2.2 Types of Data
Personal Data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data).
We may collect, use, store and transfer different kinds of Personal Data about you which we have grouped together as follows:
(i) Identity Data includes first name, maiden name, last name, username or similar identifier, title/position, date of birth and gender.
(ii) Contact Data includes billing address, business address, business name, email address and telephone numbers.
(iii) Technical Data includes internet protocol (IP) address, device identifier, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform and other technology on the devices you use to access this website and/or the iheed Online Learning Environment.
(iv) Profile Data includes your LinkedIn profile username, your interests, preferences, feedback and survey responses.
(V) Usage Data includes information about how you use our website and/or the iheed Online Learning Environment.
(vi) Marketing and Communications Data includes your preferences in receiving marketing from us and our third parties and your communication preferences.
We also collect, use and share Aggregated Data such as statistical or demographic data for any purpose. Aggregated Data may be derived from your Personal Data but is not considered Personal Data in law as this data does not directly or indirectly reveal your identity. For example, we may aggregate your Usage Data to calculate the percentage of users accessing a specific website or iheed Online Learning Environment feature. However, if we combine or connect Aggregated Data with your Personal Data so that it can directly or indirectly identify you, we treat the combined data as Personal Data which will be used in accordance with this Privacy Notice.
We may, in some cases collect Special Categories of Personal Data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health and genetic and biometric data). Where we ask students to provide data relating to their health for the purposes of the services provided via the Online Learning Environment, we will ask for explicit consent. You do not have to consent but if you do not, we may not be able to provide special accommodations or the relevant services .
2.3 If you fail to provide Personal Data
Where we need to collect Personal Data by law, or under the terms of a contract we have with you and you fail to provide that data when requested, we may not be able to perform the contract we have or are trying to enter into with you.
3 How is your Personal Data collected?
We use different methods to collect data from and about you including through:
3.1 Direct interactions
You may give us your Identity and Contact Data filling in forms or by corresponding with us by post, phone, email, or otherwise. This includes Personal Data you provide when you:
(a) subscribe to our publications; request marketing to be sent to you;
(b) enter a survey; apply for a job in our "Careers" section;
(c) give us some feedback; or submit a query.
3.2 Third parties or publicly available sources.
We may receive Personal Data about you from various third parties, including Technical Data from analytics providers/advertising networks and search information providers such as Google.
4 How we use your Personal Data
4.1 Lawful basis
We will only use your Personal Data when the law allows us to. Most commonly, we will use your Personal Data in the following circumstances where:
(i) we need to perform the contract we are about to enter into or have entered into with you;
(ii) it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests;
(iii) where we need to comply with a legal or regulatory obligation.
Generally, we do not rely on consent as a legal basis for processing your Personal Data other than in relation to sending third party direct marketing communications to you via email or text message. You have the right to withdraw consent to marketing at any time by contacting us at
4.2 Purposes for which we will use your Personal Data
We have set out below, in a table format, a description of all the ways we plan to use your Personal Data, and which of the legal bases we rely on to do so. We have also identified what our legitimate interests are where appropriate.
Note that we may process your Personal Data for more than one lawful ground depending on the specific purpose for which we are using your data. 4.3 Legal Compulsion
In the event that we are legally compelled to disclose your personally identifiable information to a third party, we will attempt to notify you unless doing so would violate the law, court order or government instruction.
4.4 General marketing
iheed does not sell, rent or lease its customer lists to third parties. We strive to provide you with choices regarding certain Personal Data uses, particularly around marketing and advertising. We have established the following Personal Data control mechanisms set out in paragraphs 4.5 – 4.9
4.5 Promotional offers from us
We may use your Identity, Contact, Technical, Usage and Profile Data to form a view on what we think you may want or need, or what may be of interest to you. This is how we decide which services may be relevant for you (we call this marketing).
You will receive marketing communications from us if you have requested information from us, received a service from us, or if you provided us with your details have not opted out of receiving that marketing.
4.6 Third-party marketing
We will get your express opt-in consent before we share your Personal Data with any company outside iheed for marketing purposes.
4.7 Internet based advertising
We use LinkedIn, Google Search & Display and Facebook advertising services and as such there are tracking codes installed on our website so that we can manage the effectiveness of these campaigns. We do not store any Personal Data within this type of tracking.
4.8 Opting out
You can ask us or third parties to stop sending you marketing messages at any time by contacting us at any time.
4.9 Cookies
The iheed website uses “cookies” and third-party services (including Google Analytics) to collect standard internet log information and details of visitor behaviour pattern. A cookie is a small text file that is placed on your device when you visitor our website [and the iheed Online Learning Environment]. You have the ability to accept or decline cookies except for strictly necessary cookies.
4.10 Mailing lists
We use a third-party provider Zoho mail to deliver our promotional updates about our programmes. We gather statistics around email opening and clicks using industry-standard technologies to help us monitor and improve our communications. For more information, please see Zoho Mail Privacy Policy. You can unsubscribe to general mailings at any time of the day or night by clicking the unsubscribe link at the bottom of any of our emails.
iheed does, on occasion, purchase lists for marketing purposes. iheed processes this data under Legitimate Interest. These lists comprise healthcare professional data and iheed will communicate to these individuals for Legitimate Business Interest to inform them about valid educational opportunities. They can unsubscribe at any time and have the right to object to the processing of their Personal Data.
4.11 Discussion Forums
When you post a message to a discussion forum, your basic profile will be available to all users of the forum. You may choose to display additional information in your profile (e.g., photo). You should not post any private information about yourself or any other person (including any patient) to a discussion board or other public forum. Information you post to discussion boards is considered public information and may be collected and used by others.
4.12 Conversations/Messages
Messages and conversations (i.e., chain messages on the same subject) may be sent to individuals or groups within the iheed Online Learning Environment. Messages and conversations are considered private and will not be read by iheed.
4.13 Change of purpose
We will only use your Personal Data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. If we need to use your Personal Data for an unrelated purpose, we will notify you, and we will explain the legal basis which allows us to do so.
Please note that we may process your Personal Data without your knowledge or consent, in compliance with the above rules, where this is required or permitted by law.
4.14 Use of Artificial Intelligence (AI)
AI technologies are used to enhance our services and improve your experience with iheed, we may use AI to support your journey with us and ensure that you have the right information required to make a decision about either studying or working for iheed.
We are committed to ensuring that our use of AI is transparent, fair, and does not result in unfair or discriminatory outcomes. We regularly test our AI systems to ensure they comply with ethical standards and legal requirements.
All Personal Data processed by AI is handled in accordance with the EU GDPR, the EU AI Act and this Privacy Notice. We implement robust security measures to safeguard your data and ensure that AI systems are designed with privacy in mind.
5 Disclosures of your Personal Data
5.1 We may have to share your Personal Data with the parties set out below for the purposes set out in the table in paragraph 4 above:
(i) External Third Parties as set out in the Glossary.
(ii) Third parties to whom we may choose to sell, transfer, or merge parts of our business or our assets; alternatively, we may seek to acquire other businesses or merge with them; if a change happens to our business, then the new owners or newly acquired businesses may use your Personal Data in the same way as set out in this Privacy Notice.
5.2 We require all third parties to respect the security of your Personal Data and to treat it in accordance with the law. We do not allow our third-party service providers to use your Personal Data for their own purposes and only permit them to process your Personal Data for specified purposes and in accordance with our instructions.
5.3 iheed is a subsidiary of Cambridge Education Group Limited (CEG). Intra-company data sharing agreements permit the transfer of data between iheed and CEG where necessary. CEG will not use your Personal Data for their own purposes and will only process your Personal Data for data analytics.
6 International transfers
6.1 Many of our external third parties are based outside the EEA so their processing of your Personal Data will involve a transfer of data outside the EEA.
6.2 Whenever we transfer your Personal Data out of the EEA, we ensure a similar degree of protection is afforded to it by ensuring at least one of the following safeguards is implemented.
We will only transfer your Personal Data to countries that have been deemed to provide an adequate level of protection for Personal Data by the European Commission. For further details, see European Commission: Adequacy of the protection of Personal Data in non-EU countries.
Where we use certain service providers, we may use specific contracts approved by the European Commission which give Personal Data the same protection it has in Europe. For further details, see European Commission: Model contracts for the transfer of Personal Data to third countries.

7 Data security
7.1 Your Personal Data is held on secure servers. We will take all reasonable steps (including appropriate technical and organisational measures) to protect your Personal Data.
7.2 We have put in place appropriate security measures to prevent your Personal Data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your Personal Data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your Personal Data on our instructions, and they are subject to a duty of confidentiality.
7.3 We use security methods to determine the identity of registered users, so that appropriate rights and restrictions can be enforced for that user. Reliable verification of user identity is called authentication. We use both passwords and usernames to authenticate users. Users are responsible for maintaining their own passwords.
7.4 When personal information (such as a credit card number) is transmitted to other websites, it is protected through the use of encryption, such as the Secure Socket Layer (SSL) protocol. However, no security system is impenetrable. We do not warrant the security of our servers, nor do we warrant that your information, including Personal Information, will be completely secure or not be intercepted while being transmitted over the Internet.
7.5 We have put in place procedures to deal with any suspected Personal Data breach and will notify you and any applicable supervisory authority or other regulator of a breach where we are legally required to do so.
8 Data retention
8.1 We will only retain your Personal Data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.
8.2 To determine the appropriate retention period for Personal Data, we consider the amount, nature, and sensitivity of the Personal Data, the potential risk of harm from unauthorised use or disclosure of your Personal Data, the purposes for which we process your Personal Data and whether we can achieve those purposes through other means, and the applicable legal requirements.
8.3 We keep basic information about our customers (including Contact and Identity Data) for six years after they cease being customers for tax and other legal purposes.

8.5 In some circumstances we may anonymise your Personal Data (so that it can no longer be associated with you) for research or statistical purposes in which case we may use this information indefinitely without further notice to you.

9.2 Please use our Data Subject Access Request Form or Data Subject Consent Withdrawal Form when contacting us in relation to data subject access requests or consent so we can process your requests efficiently.
9.3 You will not have to pay a fee to access your Personal Data (or to exercise any of the other rights). We may refuse to comply with your request if your request is clearly unfounded, repetitive or excessive.
9.4 We may need to request specific information from you to help us confirm your identity and ensure your right to access your Personal Data (or to exercise any of your other rights). This is a security measure to ensure that Personal Data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.
9.5 We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.

10.1 Lawful Basis
Legitimate Interest means the interest of our business in conducting and managing our business to enable us to give you the best offering and the best and most secure experience; we make sure we consider and balance any potential impact on you (both positive and negative) and your rights before we process your Personal Data for our legitimate interests; we do not use your Personal Data for activities where our interests are overridden by the impact on you (unless we have your consent or are otherwise required or permitted to by law); you can obtain further information about how we assess our legitimate interests against any potential impact on you in respect of specific activities by contacting us at
Performance of Contract means processing your data where it is necessary for the performance of a contract to which you are a party or to take steps at your request before entering into such a contract.
Comply with a legal or regulatory obligation means processing your Personal Data where it is necessary for compliance with a legal or regulatory obligation that we are subject to.
